Before You Travel

Get Your Passport
Both you and your guest must have a valid passport to travel to Cancun. Click the link below to review the passport application process and required forms. Please note that even expedited passports can take up to 5 weeks to process, so plan accordingly.

Complete Your Registration and Book Your Flight
This year, all attendees will have the flexibility to choose their own flight options through the dedicated event page on Concur. Please note that flights must be booked using the event page, not the regular Concur booking process. More details will be provided soon.

Pack Your Bags
Here are some suggested items to ensure you're fully prepared for your trip:

Cash for Tipping: While tipping is not required, it’s a great way to show appreciation. Bring plenty of $1s and $5s to tip your bellboy, bartender, or server. The hotel accepts USD for tips. For security purposes, we recommend not bringing over $200.

Money for Incidentals: For purchases at the hotel or in Cancun, we recommend using a credit card or pesos. The hotel does not accept USD for purchases outside of tipping.

Medication & Personal Items: Don’t forget any necessary medications or personal items. If you sunburn easily, pack your aloe vera. If you’re prone to motion sickness, bring your Dramamine, especially for boat excursions.

Sunscreen & Bug Spray: Sunscreen and bug spray is often more expensive in tourist areas, so we recommend you bring your own. The hotel’s gift shop has essentials, but expect to pay double for items like sunscreen and bug spray.

Outfits for Dinners: While the dress code at the restaurants is not overly strict, avoid wearing flip-flops and swimwear to dinner. All dinner restaurants are Resort Casual (men no tank tops or flip flops, women no swimsuits, etc)

Comfortable Footwear: Because of all the awesome amenities the AVA offers it is pretty large (1600 rooms to be exact)! We recommend comfortable sandals or flip-flops for walking around and keeping your feet cool.

Electronics & Customs Restrictions: Mexico has strict import laws for electronics. Travelers can bring only one laptop/tablet and two photography devices (e.g., a phone and a GoPro). Excessive photography gear or high-end electronics may trigger import fees based on “perceived value.” Avoid bringing expensive jewelry or designer items that could attract unwanted attention.
Day Of Travel

Arrive to the Airport Early
We recommend arriving at the airport at least 3 hours before your flight's departure time. Factors like flight departure times, parking availability, gate changes, and security lines can change rapidly. Check your local airport’s website for specific recommendations. We also suggest getting a paper boarding pass, as you’ll need to provide your flight number to the customs agent upon arrival.

Complete Immigration and Retrieve Your Baggage
After deplaning, you will be directed to the customs area. Have your passport and flight number ready, as you’ll need to present it to the customs agent. Wait times for customs can range from 5 minutes to over a couple of hours. After clearing customs, proceed to baggage claim to collect your checked luggage (if applicable).

Find Ground Transportation
Transportation from Cancun Airport to the resort will be provided. Look for our transportation representative from Amstar outside the airport, holding a sign with the Champions League logo.

WHAT IS NOT INCLUDED
All items not specifically mentioned as being included, such as but not limited to: checked luggage, laundry service, purchases at gift shops, spa services, telephone charges, and all other items of a purely personal nature. In addition, you will see the restaurants have upgraded items on their menus, and these would also be at your expense. The hotel will keep a separate record of these expenditures. Please settle your incidental accounts with the hotel prior to departure.
PERSONAL EXPENSES
The hotel will maintain a separate account for your incidental expenses not covered by the program. These include but are not limited to: laundry services, telephone calls, shopping, and spa services. Like most hotels and resorts, you will be required to present a personal credit card at check-in. We highly recommend that you DO NOT use a debit card. The hotel will immediately place a hold on your account for a pre-authorized amount (typically $150 per night) and secure it for several days beyond your check-out. Please be sure to settle your personal account at the resort front desk prior to your departure.
GRATUITIES
Vivint provides sufficient gratuities for all transfers and group functions. However, you may provide additional tips on your own for any special or personal services you may receive during your stay.
MEALS
The all-inclusive package at AVA Resort Cancun ensures a memorable dining experience. With unlimited access to a wide selection of culinary delights, including a la cart dining options and themed buffets, you can indulge in gourmet cuisine throughout your stay. Whether you’re craving international cuisine, traditional Mexican dishes, or innovative fare.

WATER CONSUMPTION
Although the drinking water at the hotel is considered safe to drink, it is best to avoid drinking the tap water Cancun. Most locals and visitors rely on bottled or filtered water for drinking to avoid waterborne illnesses. Here are some tips to ensure safety:
- Only drink bottled water: Stick to sealed, commercially bottled water, which is widely available.
- Brush teeth with caution: Use bottled or filtered water for brushing your teeth to be extra cautious.
Taking these precautions can help you stay healthy and enjoy your trip!
Travel Tip! Be sure to pack some Pepto-Bismol & Imodium should your stomach disagree with the food or water while you are in the Mexico. These items tend to be very expensive at the hotel.

ALCOHOL CONSUMPTION
As this is a company sponsored event, when it comes to alcohol consumptions or spirits while socializing and meeting others, it is imperative to monitor and regulate your own behavior to ensure everyone is representing themselves and the division in a positive, professional, and inclusive manner when consuming alcohol. There are no expectations to this rule.
When consuming alcohol be mindful of your behavior and adjust or limit your alcohol consumption accordingly if needed. Practicing this business-like approach ensures the safety of everyone and demonstrates a level of responsibility and care for all attendees during company/divisional sponsored events globally.
If you notice a colleague, customer, or third party may need help offer your assistance or locate the appropriate person(s) who may assist the individual in need. Do not pressure anyone who refuses or does not wish to consume alcohol and respect their choice.

STAY INFORMED

Check in to your flights directly with the airline before departing for the airport via their website or airline app 24 hours before departure. You will need your airline confirmation number listed on your e-ticket.

There are currently no COVID-19 related restrictions for entry into Cancun. We encourage you to exercise normal safety and precautions during your travels.

Review hotel, airline, and land transportation requirements. Check for changes to service, check-in policies and on-site amenities.

Not all regulations will be the same for departure and arrival cities and airports, please check both.

On your day of travel, plan to arrive at your departure airport a minimum of THREE (3) HOURS prior to departure. To ease the stress of travel, we strongly recommend giving yourself more than the suggested minimum time to allow for check-in and security screening.

Your airline tickets have been electronically ticketed. At check-in, an airline agent can issue your boarding pass(es) or you may have an electronic version on your cellular device. These boarding passes, along with your passport, are your official travel documents.

Be sure to check your luggage all the way to your destination (CUN). Make sure the airport code on the airline tickets and luggage tags matches your arrival airport.

Always proceed directly to your gate for each flight, as departure gates can sometimes be quite far away or in another terminal (for connecting flights).

BAGGAGE ALLOWANCE
Checked luggage fees are not covered by the trip and will be your responsibility. Luggage allowances vary from airline to airline. Please call to verify the most current policy. Please note that the airlines are VERY strict about weight limits and do charge extra for any overages. A carry-on may be taken aboard the aircraft provided it does not exceed 45 inches in total measurements and can be placed beneath your seat or in the overhead compartments provided. Each traveler is limited to ONE QUART-SIZE, clear plastic zip-top bag of travel-size toiletries (3 ounces or less) in their carry-on. CARRY-ON LUGGAGE
Most airlines limit carry-on luggage to one piece plus a personal item, such as a purse, briefcase, or laptop bag. Airports are strictly observing policies regarding items that cannot be included in carry-on bags. For detailed information and the latest listing of all prohibited and permitted carry-on items (and how to pack them), U.S. citizens should refer to www.tsa.gov.
LUGGAGE CLAIM CHECK
Be sure to obtain your baggage claim check to claim your luggage as you will need it should you be required to file a delayed or lost luggage report with the airline.
LOCKED LUGGAGE
Checked luggage should NOT be locked. Security officials perform searches of checked luggage. The U.S. Transportation Security Administration (TSA) urges travelers to not lock their checked luggage unless using TSA-approved locks. If your luggage is locked with a lock that is not TSA-approved, TSA screeners are authorized to cut the lock to inspect the bag and will not replace the lock. If using an approved lock, the screeners have master keys so they may unlock and inspect your luggage without the risk of the lock being cut off. You may purchase approved locks – look for the mark on the packaging – at travel stores and airports. For your convenience and safety, please pack all medications, valuables, and personal items in your carry-on luggage. We also recommend that you bring one change of clothing in case of delayed luggage.

TRAVEL ATTIRE
Comfort is the key when traveling; casual, loose-fitting clothing is best. Suggested items include slacks, khakis, casual skirts, jeans, shorts, polo shirts, sports shirts, t-shirts, bathing suits, and casual dresses. Layered clothing that allows you the ability to adjust to the difference in temperature. Comfortable footwear is also a must.

Travel Tip! You may also want to pack your carry-on bag with a change of clothes for a 24-hour period in the unlikely event that your luggage is delayed.

WHAT ELSE TO BRING
If you are taking prescription medications, be certain to bring enough for the entire trip. Please pack all medications, extra eyeglasses/contacts, a change of clothes, and anything else you may need in your carry-on in case of delayed or lost luggage. It is best to carry medications in their original containers. Also, remember to pack a light jacket and comfortable shoes. Please keep in mind that some airlines are limiting snack and beverage services, so it is also a good idea to pack snacks.

CLIMATE
Weather in March is one the best times to be in Cancun before it starts getting really hot and humid. Cancun weather in March is generally lovely, with normal warm daytime temperatures in the mid 80 degrees and lows of 73 degrees. A light jacket might be needed for evening activities for it tends to be a bit windy this time of year. For up-to-date weather information visit www.weather.com

CREDIT CARDS
For your convenience, hotels accept most major credit cards including American Express, Master Card, and Visa.

TELEPHONE CALLS AND INTERNET
Most major U.S. carriers offer coverage in the beautiful Cancun. With Verizon, AT&T, T-Mobile, or Sprint, you can expect to have reliable cell phone service throughout most parts of the state. You will also have complimentary Wi-Fi in your hotel room.
TRAVEL FUNDS
We strongly recommend that you bring the majority of your personal travel funds in the form of a credit card. You may wish to notify your credit card company prior to your departure that you will be traveling to avoid delays with card authorizations.

IN-ROOM SAFE'S
Each guestroom is equipped with a safe. Follow the instructions located on the safe to open and lock it. Vivint, Liaisons, Adelman, and the hotel will assume no responsibility for any thefts, loss, damage of any valuables, documents, money or jewelry or other personal property that is kept within the in-room safe.
